Job Description: The Executive Assistant provides administrative support to the General Director + CEO
Job Responsibilities:
General Director + CEO
Manage calendar by planning and scheduling appointments and travel.Purchase tickets to performances and eventsExecute opening night cards and giftsManage receipts, reimbursements and bank statementsResearch and prepare for appointmentsAssist with follow-up communicationBoard Relations
Circulate materials to board members including meeting agendas, reports, etc.Develop board meeting agendas and other materials under the direction of the GD and Board President.Coordinate board meeting dates/location with GDSend reminders to board members regarding important dates, meetings, RSVP’s, etc.Prepare meeting agendas and other materials as requested for the GD and Board PresidentOther:
Maintain office supply inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies.Perform additional duties as assigned.Process and distribute office mail.Review as a part of a team function, the show programs, email blasts, and distributions from the marketing team.Oversee ticket donations for local non-profit organization fundraisers.Participate in department staff meetings.Attend board meetings, mainstage productions, and special events.Embrace the role of being a mentor and teacher, sharing learnings, experience, and best practices.
