With approximately 2,000 students passing through its doors every week, the Peabody Preparatory is Baltimore's premier community school for the performing arts. It is open to students of all ages and levels of ability with offerings ranging from early childhood classes for infants to the Adult and Continuing Education (ACE) program for adults. Instrumental and dance instruction begins as young as four years, and most classes are available to adults.
We are seeking a Registration System Coordinator who will work closely with the Peabody Information Technology department in the ASAP set-up and configuration, testing, and troubleshooting for Summer Programs, Fall/Spring, and Full-year enrollment processes. This position will provide excellent customer service to assist faculty, families, and students to navigate through the Peabody Preparatory ASAP registration system. The role is responsible for executing activities including registrations, enrollment activities, maintaining records, reporting, and providing excellent customer service.
This position will also develop and maintain collaborative relationships with internal and external customers, and possess the ability to prioritize effectively, proactively solve problems, and manage multiple projects simultaneously with high levels of accuracy.
Specific Duties & Responsibilities:
Registration Technical Support (ASAP, Slate, and Auxs Systems):
Support IT on ASAP configuration process requirements including time-periods, class/course set-up, tuition and fees, discounts, customer groups, course groups, and packagesAssist with ASAP testing of new releases, changes, and upgradesTroubleshoot and diagnose ASAP issues before escalating to IT/system supportNew faculty and staff set-up and training in ASAPWork with department chairs and program staff on development of requirements, customer groups, packages, and programsWork with Education manager on course catalog process including collection of course content and program data, class rollover, and launch in ASAPConfigure and apply scholarship discount codes
Customer Service:
Provide email and in-bound phone support to current and prospective familiesResolve customer invoice inquiries on medium to complex issuesSupport ASAP billing, payment plans, and collections processesIssue transcripts upon requestRespond to internal work tickets from faculty & staffProcess tuition refunds and related ASAP transactionsProcess add/drop forms and related ASAP transactions
Other Duties:
Perform required data quality routines to ensure quality controlMaintain Smartsheet project tools for registration go-live deliverables and other projects or deliverablesProvide periodic ASAP enrollment reportingAssist in development of ASAP internal & external communicationsOversee summer intern(s)Support other Preparatory & Business Office areas as needed
