Large fast-paced world class contemporary artist’s studio with a multi-disciplinary practice is seeking a full-time studio manager:
Must be a highly motivated self-starter, who is hyper-organized, has a keen emotional intelligence, and Jedi-like anticipation of tasks and priorities. Must possess above average communication skills and an open, accessible personality.
Requirements:
This is a full-time, salaried position with 2-weeks vacation built in. Salary to commensurate with experience. The position offers health care, dental, vision and 401k plans. Must have a minimum of 2 years experience in a similar role.
Studio Management Responsibilities:
-Work alongside Organizational Officer to have a full understanding of current studio workflow and project deadlines and manage day-to-day Studio operations and team of 21 individuals.
-Hold the 10,000 foot view of what’s happening in the studio at all times.
-Manage Artist and Studio calendars. Communicate calendar updates or changes to team.
-Be knowledgeable at all times on what is happening in all areas of the Studio so you can host Studio visits and give informative Studio tours.
-Work alongside Fabrication Manager, Exhibitions Manager, and gallery/institution to plan all exhibition logistics, including floor plans, shipping details, installation/desinstallation schedules, team staffing, etc.
-Work with Studio Assistant to arrange all studio travel including flights, accommodations, car transfers, etc.
-Manage Studio call list and prioritize all outgoing artist communication including exhibition email blasts, event invites, and guest lists.
-Oversee Studio Assistant and liaise with artist’s Personal Assistant to ensure artist personal and workplace needs are met.
-Manage artist gifting and signing personal notes. Coordinate shipping for all gifts.
-Support Fabrication Manager in sculptural problem-solving and sourcing new vendors.
-Plan and execute team morale events and Studio parties.
-Manage and maintain Studio operating systems such as Studio address book, password vault, and computer setups.
-Oversee all infrastructure needs for the studio and two storage facilities including renovations,, security systems, key assignments, etc. Serve as main point of contact for Studio landlords and maintenance crews.
-Work with the Organizational Officer to identify team needs for systems, protocols, and training. Develop training materials and lead sessions with staff as needed.
-Liaise with general counsel to review and approve all exhibition agreements, contractor agreements, loan consignments, or any other legal documents.
HR Responsibilities:
-Review and manage team personnel files, W-9s, W-4s, i9s, proper ID, releases, agreements, contracts, NDAs in conjunction with bookkeeper and payroll specialist.
-Hiring: review resumes for potential candidates, conduct proper background checks, and give insight as requested for hiring decisions.
-Manage team time-off requests, sick time, and vacation time.
-Relay feedback to team members about tardiness and/or any other code violations.
-Lead bi-annual staff reviews with Organizational Officer.
-Determine creative and cost-effective ways to reward team members especially during heavy workload periods.
-Maintain NYS Labor Laws, and keep studio procedures up to code.
Budgets and Accounting:
-Manage project budget and reports for Studio.
-Liaise with Studio financial team including investment account managers and bookkeeping team to project Studio revenue and upcoming costs.
-Manage Studio petty cash and credit cards.
-Track and monitor all Studio accounts (Bank of America, AmEx, PayPal, Amazon, McMaster). Approve Studio invoices and code monthly credit card charges for bookkeeper as needed.
-Review and approve biweekly employee timesheets.
-Draft and send studio invoices for gallery or institution reimbursement for exhibition expenses such as team travel, supplies, meals, etc.
-Liaise with Insurance broker. Update and maintain different policies as needed on an annual basis.
-Liaise with 401k and Cash Balance Pension Plan teams on employee retirement accounts, contributions, and payouts.
