Job Description

The Assistant Director, Admissions (Events) (AD) leads and manages all events related to the recruitment of new students. This includes on-campus, off-campus and virtual events. The AD will coordinate events that are in alignment with admission and recruitment goals and are consistent with overarching departmental strategy. The incumbent will directly, and indirectly, manage all details and logistics for events. The AD will also assist families on-campus with admissions related issues, when necessary. This position reports directly to the Director, Admissions Recruitment

Essential Duties Summary

Supervision/Coordination (75%)
• Supervises and trains new Counselors.
• Manages in-person and virtual appointment schedule for each part of the admissions cycle, ensuring the department is providing adequate coverage to meet prospective student needs.
• Coordinate event staff assignments, including volunteers and student workers, to ensure that events have appropriate support.
• Coordinates event calendar to align with admissions cycle to increase admission yield and aligns with College calendar. This includes, but not limited to, open houses, admit day, campus tours, ongoing virtual events, and registration events
• Manage event logistics to ensure successful execution, including, but not limited to, venue reservations, catering orders, speaker selection, and campus coordination.
• Review and advise marketing staff on event communication to ensure timely and accurate publicity. This includes traditional marketing channels, social media, and other mediums.
• Curates the event schedule to ensure that event objectives are met with innovative and informational programming.
• Monitor guest count to ensure that events are scaled appropriately.
• Manage and review event evaluations to recommend appropriate changes to improve event outcomes.
• Collaborates closely with colleagues who oversee campus tours and community outreach initiatives, to ensure that the department effectively showcases campus for various populations of visitors.

Counseling/Veterans (25%)
• Serves as the on-campus counselor, during recruitment season (August – December), to meet with applicants and families.
• Manages a roster of applicants for admission and enrollment at Otis College. Counsels applicants on admission policies and procedures. Communicates with prospective students via in-person interviews, virtual appointments, by telephone, during portfolio reviews, on campus tours, and via written communication (i.e., responding to emails regarding application status, writing inquiries to prospective students, including instant messaging platform Unibuddy.)
• Reviews student artwork and credentials at portfolio day events. Offers solutions to applicant problems and answers questions regarding admissions policies and/or procedures.
• Attends outreach programs and other recruitment efforts (i.e., classroom visits in high schools and/or community colleges, group visits to campus, college fairs, and other special events.), as needed. Represents Otis College locally and nationwide. Gives presentations on Otis College’s programs to prospective students and parents in various settings.
• Acts as the point person for Military Veterans and Veteran Dependent applicants who may be using Veteran Benefits. This includes finding initiatives and recruitment opportunities to expand the college’s Veteran population. Provides support throughout the application process for Veterans and assures proper documentation is submitted to apply benefits towards tuition if applicable. Manages CollegeRecon recruitment platform, and researches other Veteran friendly resources that aid Veterans in their college search.
• Attend monthly staff meetings to inform other offices working with the college’s current Veteran population of updates on recruitment efforts and workflows.
• Update website with relevant Veteran information such as descriptions of benefits accepted by the college, resources and staff contacts.
• Performs other related duties as assigned. Must be responsive to work-related phone calls and emails during non-business hours on occasion.

Required Qualifications
Bachelor’s degree required. Combined experience/education as a substitute for minimum education is required. A minimum of 4 years of experience working in recruitment and admissions, higher education, or for arts organizations is required. Past experience coordinating events required. Must be willing and able to travel (when safe) and work evenings and weekends.

Preferred Qualifications

Master’s degree preferred. Experience working in a CRM preferred. Experience and/or education at a fine art and design institution or similar background are highly desirable.
